How to Schedule a Group Project Meeting

By the FreeAvail team ยท Last updated: October 2026

Group projects rarely stall on the work itself. They stall on "when is everyone free?" turning into forty messages. Here's a simple process that gets a meeting on the calendar in one round.

1. Decide what the meeting is for

Before you ask about times, agree on the goal and the length. "60 minutes to divide up the presentation" is easier to schedule than "let's meet sometime." It also tells people whether a 30-minute gap between classes is enough.

2. Pick a date window before the deadline

Pick the date range you are considering, not "sometime next week." Leave room after the meeting to actually do the work. Set the earliest and latest times anyone would realistically meet, so nobody has to mark 7 a.m. as busy.

Create a FreeAvail event with those dates and times. Times are in 15-minute slots, and nobody needs an account. Post the link in your GroupMe, Discord, or iMessage chat. Each person types their name and marks when they're free. On a phone, tap a time to mark it, or press and hold, then drag to mark a run.

4. Set a reply deadline

The most common reason scheduling drags on is one person who never replies. Give a clear cutoff ("mark your times by 9 tonight") and say you'll pick a time with whoever has responded by then.

5. Pick the time and confirm it

The group view shows where everyone's availability overlaps, and FreeAvail points out the top window where the most people are free, plus alternates. Post the final time in the chat with the place or video link, so nobody has to scroll back to find it.

Tips that save a second round

  • Mark generously. Ask people to mark every time they could make work, not just their favorite. More overlap means more options.
  • Plans change. People can come back and re-paint their availability anytime, so a schedule change doesn't mean starting over.
  • Remote members? If someone is in another time zone, see how to schedule across time zones.

FAQ

How far ahead should I schedule a group project meeting?

Pick dates that leave enough time after the meeting to do the work you agree on. Sending the link several days ahead gives people time to reply.

What if one person never responds?

Set a reply deadline up front and pick a time with whoever has responded by then. Share the decision in the group chat so the late person can still adjust.

Do group members need an account to use FreeAvail?

No. Neither the host nor the people responding need an account. Open the link, type your name, and mark when you're free.
