How to Get Busy People to Respond to a Scheduling Poll

By the FreeAvail team ยท Last updated: October 2026

Most people who ignore a scheduling poll are not refusing. They saw it at a bad moment and forgot. Everything below is about making the poll quick to answer and hard to forget.

1. Make the poll small

A poll covering two weeks from 8 a.m. to midnight looks like homework. Offer only the dates you are really considering and a realistic time range. A smaller grid takes a minute to fill in.

2. Remove sign-up steps

Every "create an account" screen loses people. FreeAvail polls need no account: open the link, type a name, mark times. On a phone, people tap a slot, or press and hold, then drag to mark several.

3. Say why and by when

Compare "fill this out" with "Marking times for our 1-hour project check-in. Please fill this out by 9 tonight." The second message tells people it is quick, what it is for, and when it matters.

4. Set a default

Add: "I'll pick a time with whoever has replied by then." This turns not replying into a choice with consequences, and it means you are never stuck waiting on one person.

5. Follow up directly

Check the poll to see who has not added their name, then message those people directly, once, a few hours before the deadline. A direct message works better than a second "@everyone" in the group chat that the same people will also miss.

In person is fastest

If you see the group in class or at a meeting, show the QR code from the share sheet and ask everyone to fill it in right then. It takes a minute and you leave with most of your answers.

FAQ

How long should I give people to respond?

Long enough for everyone to see it at least once, and short enough that it stays top of mind. For a single meeting, a day is often enough.

Should I send reminders to the whole group?

Direct messages to the specific people who have not replied usually work better than another message to everyone.

What if someone replies after I pick the time?

Share the decision in the chat. People can still update their availability, so if the late replies change the picture a lot, you can reconsider.
